1. Acceptance of Terms
By registering for, accessing, or using the Edvansh School ERP platform ("the Platform"), the school institution ("School", "you") agrees to be bound by these Terms of Service ("Terms"). These Terms form a legally binding agreement between the School and Edvansh Technologies ("Edvansh", "we", "us").
If you are entering into these Terms on behalf of a school or organisation, you represent that you have the authority to bind that institution to these Terms.
If you do not agree to these Terms, do not use the Platform.
2. Description of Service
Edvansh provides a cloud-based school management platform that includes:
- Student, teacher, and parent management
- Admission inquiry and application management
- Attendance tracking (student and staff)
- Timetable management
- Homework and assignment management
- Examination and marks recording
- Academic management (curriculum planning, student enrolment, class transfers, and promotions)
- Fee management and receipt generation
- School notices and push notifications
- Parent communication and query management
- Teacher HR management (departments, status lifecycle, document vault, experience certificates)
- Analytics, reports, and dashboard
- Role-based access for six distinct user roles
The Platform is made available via:
- A web application for administrators, vice principals, accountants, receptionists, and admission officers
- A mobile application (Android) for teachers and parents
3. Accounts and Access
3.1 School Onboarding
Each school is assigned a unique School Code upon registration. All users of the Platform are created and managed by the school's administrator within the Platform.
3.2 User Roles
The Platform supports the following roles within each school:
- Admin — full access to all school data, settings, and user management; web application only
- Vice Principal — delegated operational access; equivalent to Admin except cannot manage fee structures, fee categories, fee settings, school profile, branding, communications configuration, or user accounts; web application only
- Accountant — access limited to fee management (recording payments, viewing fee data, applying waivers, sending reminders); web application only
- Receptionist — front-desk access covering student and parent management, admissions and inquiries, and fee ledger view; no access to academic management, marks entry, attendance management, or reports; web application only
- Admission Officer — access limited to the admissions module (inquiries and applications); web application only
- Teacher — access limited to their assigned classes and subjects (attendance, homework, marks, notifications); mobile application only
- Parent — read-only access to their linked children's data (attendance, homework, marks, notices, fees); mobile application only
3.3 Account Security
The School is responsible for:
- Maintaining the confidentiality of all login credentials
- Ensuring that user accounts are only shared with authorised individuals
- Promptly deactivating accounts of staff or parents who no longer require access
- Reporting any suspected unauthorised access to support@edvansh.com
Accounts are locked automatically after 5 consecutive failed login attempts (15-minute lockout).
3.4 First Login
All system-generated accounts require a password change on first login. Default passwords must not be retained.
4. School's Responsibilities
The School agrees to:
- Provide accurate and current information when registering and using the Platform
- Use the Platform only for lawful school management purposes
- Obtain all necessary consents from parents and guardians before entering student data into the Platform
- Comply with applicable laws regarding the collection, storage, and processing of personal data of staff, students, and parents
- Not enter data that the school does not have the right to process
- Ensure that teachers and parents using the mobile application are informed of these Terms and the Privacy Policy
- Promptly notify Edvansh of any data breach or security incident involving the Platform
5. Prohibited Uses
The School and its users must not:
- Use the Platform for any unlawful purpose or in violation of any applicable law
- Attempt to gain unauthorised access to another school's data, system accounts, or infrastructure
- Reverse engineer, decompile, or attempt to extract the source code of the Platform
- Resell, sublicense, or provide access to the Platform to third parties outside the school
- Use automated tools to scrape, extract, or mirror Platform data
- Introduce malware, viruses, or any code that could harm the Platform or other users
- Impersonate another user or provide false information to gain access
- Use the Platform to send unsolicited communications (spam)
6. Data Ownership and Processing
6.1 School Data
All data entered into the Platform by the School (student records, attendance, marks, fees, admissions, etc.) remains the property of the School. Edvansh does not claim ownership over school data.
6.2 Data Processing
Edvansh acts as a data processor on behalf of the School (the data controller). We process school data only as instructed by the School through use of the Platform, in accordance with our Privacy Policy.
6.3 Data Export
Schools may export their data at any time through the Platform's export features (CSV, PDF). On request, Edvansh will assist with a full data export before account termination.
6.4 Data After Termination
Upon termination of the subscription, school data will be retained for 90 days to allow for data export, after which it will be permanently deleted from all systems.
7. Fees and Payment
7.1 Subscription
Access to the Platform is provided on a subscription basis. Subscription fees, billing cycle, and payment terms are as agreed in the order form or subscription agreement between Edvansh and the School.
7.2 Fee Module Scope
The Platform includes a manual fee management module for schools to record fee collections internally. This module does not process online payments or act as a payment gateway. All payment transactions between the School and its students/parents occur outside the Platform.
7.3 Non-Payment
Failure to pay subscription fees by the due date may result in suspension of access to the Platform. Edvansh will provide reasonable notice before suspension.
8. Availability and Maintenance
- Edvansh aims to maintain Platform availability of at least 99% per month, excluding scheduled maintenance.
- Scheduled maintenance will be communicated in advance where possible.
- We do not guarantee uninterrupted access and are not liable for downtime caused by factors outside our control (internet outages, third-party service disruptions, force majeure).
9. Intellectual Property
- The Platform, including its design, software, algorithms, and documentation, is the intellectual property of Edvansh Technologies.
- The School is granted a non-exclusive, non-transferable, revocable licence to use the Platform during the subscription period.
- Nothing in these Terms transfers any intellectual property rights to the School.
- The School grants Edvansh a limited licence to process, store, and display school data solely for the purpose of providing the Platform services.
10. Confidentiality
Each party agrees to keep confidential any non-public information received from the other party in connection with the Platform. Edvansh will not disclose school data to third parties except as described in the Privacy Policy or as required by law.
11. Disclaimer of Warranties
The Platform is provided "as is" and "as available". To the maximum extent permitted by law, Edvansh disclaims all warranties, express or implied, including:
- Warranties of merchantability or fitness for a particular purpose
- Warranties that the Platform will be error-free, uninterrupted, or free of harmful components
- Warranties regarding the accuracy or completeness of any data or reports generated by the Platform
12. Limitation of Liability
To the maximum extent permitted by applicable Indian law:
- Edvansh's total liability to the School for any claim arising from these Terms or use of the Platform shall not exceed the total subscription fees paid by the School in the 3 months preceding the claim.
- Edvansh shall not be liable for any indirect, incidental, consequential, or punitive damages, including loss of data, loss of revenue, or business interruption.
Nothing in these Terms limits liability for fraud, gross negligence, or wilful misconduct.
13. Indemnification
The School agrees to indemnify and hold Edvansh harmless from any claims, losses, damages, or expenses (including reasonable legal fees) arising from:
- The School's use of the Platform in violation of these Terms
- The School's violation of any applicable law
- Any claim by a student, parent, or staff member arising from the School's actions in managing their data on the Platform
14. Term and Termination
14.1 Term
These Terms remain in effect for the duration of the School's active subscription.
14.2 Termination by the School
The School may terminate its subscription by providing 30 days' written notice to support@edvansh.com.
14.3 Termination by Edvansh
Edvansh may suspend or terminate access immediately if:
- The School materially breaches these Terms and fails to remedy the breach within 14 days of written notice
- The School engages in prohibited use
- Required by applicable law
14.4 Effect of Termination
On termination: the School's access is revoked; data export assistance is available for 90 days; thereafter, all school data is permanently deleted.
15. Changes to These Terms
We may update these Terms from time to time. We will notify schools by email at least 30 days before material changes take effect. Continued use of the Platform after the effective date of changes constitutes acceptance. If the School does not agree to revised Terms, it may terminate its subscription before the changes take effect.
16. Governing Law and Dispute Resolution
- These Terms are governed by the laws of India.
- Any dispute arising from these Terms shall first be attempted to be resolved by good-faith negotiation between the parties.
- If unresolved within 30 days, disputes shall be subject to the exclusive jurisdiction of competent courts in India.
17. Miscellaneous
- Entire Agreement: These Terms, together with the Privacy Policy and any subscription agreement, constitute the entire agreement between the parties regarding the Platform.
- Severability: If any provision of these Terms is held invalid, the remaining provisions continue in full force.
- Waiver: Failure to enforce any provision is not a waiver of the right to enforce it later.
- Assignment: The School may not assign its rights under these Terms without Edvansh's prior written consent.
